Job Summary

 

This is advanced administrative support clerical and secretarial work performing technically varied and complex word processing, clerical and secretarial functions, interpreting and entering data, and interpreting and applying policies and procedures. Work requires knowledge of Business English and the techniques, methods, and procedures used in performing the more complex word processing, clerical and secretarial functions.  Work requires independent judgment and discretion and is performed under general supervision where the work assignments are subject to instructions and established work routines, and the worker is given latitude to rearrange the sequence based on changing work situations or workflow.  Positions are located in the High Schools.  This class lies above that of Middle School Secretary and reports to the principal or the principal's designee.

 

Essential Functions

 

1. Oversees monitors and/or reviews the work of other support staff and provides guidance and training to volunteers, parents and other employees.

2. Secures time sheets from all personnel, i.e., certificated and classified personnel and substitute teachers, and prepares attendance reports and payrolls.  May interact with the substitute automated management system.

3. Orients substitutes to procedures and gives out pertinent information, including lesson plans for the day. 

4. Composes correspondence without review and/or specific instructions.

5. Types and/or prepares letters, memoranda, reports, records, orders, and other official documents.

6. Keeps current files on teachers, security reports, maintenance requests, memorandums, etc.

7. Makes appointments for students and parents.

8. Assist students and school personnel in routine problems.

9. May provide support to assigned schools bookkeeper and function as his/her backup.

10. Performs related duties as required.

 

Probation: Six (6) month

 

Qualifications

 

Open Requirements:  Must have a three-year combination of education and work experience in a clerical and/or secretarial field.  Successfully completed job-related college-level course work such as Business Mathematics, Business Communication, English Composition, Accounting, Finance, Office Management, and Computer Science may substitute for the required experience on the basis of three semester hours for three months of experience.  Must be able to type at a rate of 30 correct words per minute.

 

Promotional Requirements:  All permanent employees of the Duval County Public School System who have served for one year in the class of Middle School Secretary, Secretary II, or *School Secretary/Bookkeeper OR two (2) years in a Middle or High School in the class(es) of School Clerk I and/or Data Entry Clerk may apply.  Must be able to type at a rate of 30 correct words per minute.
