Job Summary

 

Advanced clerical/technical budget support work, performed under general supervision in maintaining School Board-wide position control and budget transaction records.  Performs technically varied and complex typing; data entry; filing; payroll preparation; purchasing activities; customer support; and maintains report, record, file, and information systems.  Contacts schools and district department financial and budget personnel to request or provide information, ask questions, or obtain clarification. 

 

 

Essential Functions

 

1. Maintains School Board-wide position control and budget transactions records.

2. Establishes and maintains report, record, file, and information systems in compliance with School Board and Budget Office policies and procedures.

3. Reviews, processes, records, indexes, and files budget documents, reports, records, files, information, and materials.

4. Reviews and posts budget transfer requests.

5. Reviews documents and files for completion and accuracy and routes to proper sources.

6. Responds to inquiries and interprets and explains School Board budget practices and procedures.

7. Gathers and analyzes budget information and develops complex spreadsheets.

8. Composes and prepares correspondence.

9. Reviews and verifies employee time reports and leave requests and prepares payrolls and maintains leave records.

10. Performs technically varied and complex typing and data entry.

11. Performs other duties as assigned.

 

 

Probation: Six (6) months

 

 

Qualifications

 

Education/Experience:  Two (2) year combination of education, training, and clerical budget experience, including establishing and maintaining budget document control, report, record, file, and information systems for a large complex organization. 

 

Certifications & Licenses:  NA.

 

Knowledge, Skills, and Abilities (KSAs)

  • Knowledge of techniques, methods, and procedures used in performing complex clerical budget functions
  • Knowledge of laws, rules, regulations, policies and procedures governing payroll, leave, budget, and fiscal documents, reports, records, files, information, and materials
  • Knowledge of the School Board’s budget policies, practices and procedures
  • Knowledge of budget information-gathering practices and techniques
  • Knowledge of collective bargaining contracts
  • Knowledge of the School Board’s organization
  • Strong mathematical calculation skills
  • Strong oral, written, and interpersonal communication skills
  • Strong calculator, personal computer, and office equipment operation skills
  • Ability to establish and maintain budget document control, report, record, file, and information systems
  • Ability to read, understand, and apply job-related rules, policies and procedures
  • Ability to prepare reports
  • Ability to review and monitor the work of others and provide training regarding the more complex clerical budget functions
  • Ability to establish and maintain effective working relationships
  • Strong word processing, spreadsheet, and database software skills
